Privacy Policy

BillDesktop ("we," "us," or "our") is billing and client-portal software built and operated by Voluntary Transactions. This policy explains what information we collect from you at the platform level, how we use it, and how we protect it — including when you sign in with Google.
Scope note: BillDesktop is used by service businesses ("Clients") to invoice and collect payment from their own customers. If you're a Client's customer making a payment through a branded portal (e.g. a subdomain of billdesktop.com), that portal has its own privacy policy specific to how that Client handles your data — look for the "Privacy" link on that portal. This page covers BillDesktop and Voluntary Transactions as the platform operator: our own websites, the sign-in process, and how we handle data about Client accounts.
1. Information We Collect
- Account information — name, email address, and business details provided when a Client account is created.
- Google Sign-In data — if you sign in with Google, we receive your name, email address, and profile picture from Google. We use this solely to create and authenticate your account. We do not request access to your Gmail, contacts, files, or any other Google data beyond basic profile identity.
- Usage data — standard server logs including IP address and browser type, used for security and troubleshooting.
2. How We Use Your Information
- To create, authenticate, and secure your account
- To operate and support the billing platform
- To respond to questions or support requests
- To maintain the security and functionality of the service
We do not sell, rent, or share your personal information with third parties for marketing purposes.
3. Third-Party Services
Authentication may be handled via Google Sign-In, governed by Google's Privacy Policy. Individual Client portals may use payment processors such as Stripe to collect payments from their own customers — see the specific Client's portal privacy policy for details on how payment data is handled in that context.
4. Data Security
All data transmitted between your browser and our services is encrypted using HTTPS/TLS. Access to account data is restricted to authorized Voluntary Transactions staff.
5. Data Retention
We retain account information for as long as the account is active and for a reasonable period thereafter for operational and legal purposes. You may request deletion of your account by contacting us directly.
6. Your Rights
You may request access to, correction of, or deletion of your personal information at any time by contacting us. We will respond within a reasonable timeframe.
7. Changes to This Policy
We may update this policy periodically. The effective date at the top of this page reflects the most recent revision. Continued use of the platform after changes are posted constitutes acceptance.
